Unite Docs

Enterprise Content Management

central file management

The United Nations’ business processes remain paper-intensive primarily because of the decentralized structure of the Organization and its knowledge. However, the UN operates in an ever-changing and increasingly complex global setting and its personnel should have access to readily available and authoritative information. Establishing a technological environment to retain and share our institutional knowledge requires a change in knowledge management processes supported by a sophisticated content management platform for the Organization.

What is Unite Docs?

Unite Docs is a modern Enterprise Content Management (ECM) platform. It provides a web interface featuring content management functionalities and integrates with other enterprise systems and repositories.

It is the foundational component for implementing our ECM strategy with the ability to enforce good recordkeeping and information security standards, practices and policies through file classification, metadata and retention schedules.

Docs: managing files centrally, securely

  • The Correspondence Module in Unite Docs enables departments to log correspondence, reference and search for correspondence. This module provides the ability to initiate workflows for specific user groups and for users to delegate tasks related to logged correspondence. As with Unite Docs, the module is integrated with Lotus Notes and available on the Internet, and the content lifecycle is managed. The Correspondence Module is replacing the existing CorLog as the main correspondence management system for the Organization, and will hold the legacy content from CorLog

  • The Human Resources Module in Unite Docs accommodates the filing of Official Status files, consultant files, and staff member files for Executive Offices. The customization includes standardized naming conventions, automatic sub-folder creation, identification of specific document types and a customized workflow to request paper records from the Personnel Records Unit

  • The Task Tracker enables the tracking of specified tasks by monitoring due dates and email notifications. Email tasks can be automatically uploaded in Unite Docs, with relevant details such as ‘From’ and ‘To’ updated for the tasks
